MyInbox Tab This feature is available in the eMailTrackerPro Advanced Edition only. The My Inbox feature provides the ability for users who use one or more POP/SMTP accounts to delete and remove all unwanted emails before they get to the email clients inbox. This is a very useful feature for reducing the extensive download times by only downloading 'clean & valid' emails from the mail server. My Inbox also allows eMailTrackerPro to trace multiple emails all at once instead of one at a time as provided in eMailTrackerPro Standard Edition. Creating a new mail account: The first step is to configure any pop server settings. Note there can be more than one. To do this select the Options --> Preferences dialog then select the Mail Accounts tab and click Add, as shown below:
The New Mail Account dialog box will be displayed as shown below in figure 9.1:
1. Account Type - We have a few pre set account types that you can choose if you are setting up eMailTrackerPro with that account. Simply click the radio button that applies to you and it will fill out the Mail Server, Port and SSL settings that are required for that email client. Choose custom if you want to enter your own settings. 2. Account Name - This can be any name required to help identify the account. 3. Username and Password - Enter the username and the password associated with the pop account you are adding. 4. Mail Server - Enter the pop mail server details, for example pop.myisp.com 5. Port - Enter then the pop service port number, this is normally 110. 6. This mail server requires a secure connection (SSL) - If the POP account you are setting up requires an SSL connection (for example Gmail) then check this option. 7. Include this account in default receive/clean - When checked, the account being set up will be included in any default action set for eMailTrackerPro. If this is not checked, the account being created can be checked by clicking on the bottom half of the 'Receive mail' button in the main MyInbox view and choosing the account name. Once account settings have been configured, click the Test button to make sure eMailTrackerPro can make a connection correctly then click the Ok button. If the test fails then the likelihood is that the username, password or pop server is in correct. Double check the settings with your administrator and/or ISP. MyInbox GUI Fig 9.2 below shows the main MyInbox GUI. The numbers shown are explained in detail below the image.
The numbers in the fig 9.2 above are described below: NOTE: The keyboard shortcuts for select, multi select, delete and select all will work within the email list. The standard shortcut keys are: CTRL-A - Selects all emails in view Hold down CTRL - If the CTRL key is held down multiple emails can be highlighted Hold down SHIFT - If the SHIFT key is held down multiple email groups can be highlighted. 1. Check mail button - Click the Check mail button to begin checking for mail. (see preferences to set up the automated mail check action). Note the process of selecting emails is only done at the pop sever, no emails are transferred to you email clients inbox. Note also that selecting the bottom half of the button allows single mail accounts to be checked if they are not included in the default list. see fig 9.3 below:
2. Clean Mail - This button will remove all email set to delete from the email list and from the email server. If the bottom half of the button is clicked it will allow you to clean the mail for a specific account if it is required. The list will look the same as fig 9.3 above. 3. White list address - Any email(s) selected when this button is pressed will be added to the white list (the email address only) 4. Blacklist address - Any email(s) selected when this button is pressed will be added to the blacklist (the email address only) 5. Add rule button - This button brings up a dialog box like fig 9.4 below:
This allows you to enter a single email address into the text box and then choose to add it to the white or black list. Adding an email to the blacklist means it will also be set to delete. 6. Create filter - More complex rules, known as filters, can be created to help filter out valid emails. This is explained in more detail here. 7. Everything, Set to keep, Set to delete - These three buttons are shortcuts to quickly view certain categories of emails. So, simply, to view all white listed emails in your current email list, click the set to keep button etc. 8. Search and Show - The top half of this button will open the search dialog, as shown below in fig 9.5, that allows you to search the inbox list for specific emails. The bottom half, when clicked, will produce a drop down menu with various pre set views.
By default the search box will only display matches for the entire string you enter. For example if Visualware Order was searched for only emails with a subject matching exactly that will be shown. Wildcards are accepted which means searching for more specific entries is possible. For example searching for: *Visualware will display every email with a subject ending Visualware. Searching for: *Visualware* will display every email with Visualware anywhere in the subject. 9. Trace email button - Select this to perform an advanced trace on any email(s) that are currently selected. Multi select using the CTRL and SHIFT keys is supported to allow multiple emails to be traced automatically. An alternative to clicking the trace button is to select the trace option the right mouse context menu. Once the emails are selected right click and choose trace. 10. Rules and Filters - This panel can be expanded and will be explained later on. 11. Main email panel . Every email waiting at the pop server accounts gets listed, sorted and displayed here for review. Any email that matches your black list will have black in the rule column, and every email that matches your white list will have white in the rule column. The various types of emails you receive are color coded for clarity as follows: Black listed: Red 12. Preview Pane - The preview pane will display the body of any email that is currently selected in the email list. If the preview pane has been minimized then double clicking on an email in the email list will cause the preview pane to open and then display the body of that email. Changing column order The columns displayed in the main view can be configured. To do this either go to the preferences or right click on any column header. This will give you a menu of choices as shown below in fig 9.5:
To add or remove a column simply select the column to remove from the remove column menu, or select the column to add from the add column menu. To change the column order you can click the Change column order... option which will take you to the preferences dialog. If you do not have many columns then check the Table fits panel option. This option ensures that the columns stay within the confines of the 'My Inbox' panel. With this option turned off columns can be scrolled off the visible panel and must be access using the standard Windows horizontal scrollbars. Managing Emails in the list There is a context menu option provided when you right click on a selected email in the email list, see below in fig 9.6:
The menu is for the most part self explanatory. To set the currently selected email to delete then simply choose the delete option. To perform an advanced trace on the selected email choose the trace option. The emails in the my inbox view have already had a basic trace performed as they were being received in order to get basic IP and country information. If you wish to view the header for an email then choose the View Header option. This will launch a pop up dialog with the email header. To delete emails you can either multi select numerous emails using the shift and ctrl keys and the click on the 'No' hyperlink in the 'delete' column to set all selected emails to 'yes', or if you have one email selected you can use the 'delete' key on your keyboard. This will mark that email for deletion then highlight the email directly below. |
